AI Usage Policy

Last updated: January 2025  |  AiRK Solutions FZE, IFZA Business Park, Dubai, UAE

This policy governs how AiRK Solutions FZE builds, deploys, and oversees artificial intelligence systems. It reflects our commitment to responsible, human-centric AI implementation across all client engagements.

1. Purpose of This Policy

This AI Usage Policy explains how AiRK Solutions FZE develops, deploys, and governs artificial intelligence systems for itself and on behalf of clients. It is intended to promote responsible, transparent, and human-supervised use of AI across all AiRK engagements. This policy applies to: • AI systems built and deployed by AiRK Solutions for clients • AI tools used internally by AiRK Solutions in service delivery • Third-party AI platforms integrated into AiRK-managed workflows

2. Principles of Responsible AI Use

AiRK Solutions is committed to implementing AI in accordance with the following core principles: • Human Oversight: All AI systems deployed by AiRK are designed to include human review checkpoints, escalation paths, and override mechanisms. No AI system we build operates without meaningful human supervision for high-stakes decisions. • Transparency: We aim to make AI-assisted processes identifiable to end users where applicable, and we provide clients with documentation of how AI systems function within their operations. • Accountability: AiRK Solutions maintains clear ownership and accountability for the AI systems it designs and manages. Clients are informed of the scope and limitations of each system. • Proportionality: AI systems are deployed in contexts where the potential benefit is proportionate to the risk. We advise clients against deploying AI in high-risk decision contexts without appropriate governance structures. • Non-Discrimination: AiRK does not knowingly build AI systems designed to discriminate based on protected characteristics. Clients are advised to review AI outputs for fairness and bias where relevant.

3. AI System Limitations

All AI systems — including those developed and managed by AiRK Solutions — have inherent limitations. These include but are not limited to: • AI systems may produce outputs that are inaccurate, incomplete, or contextually inappropriate • AI performance may degrade over time without ongoing maintenance and retraining • AI systems are dependent on the quality, completeness, and accuracy of input data • Outputs from AI systems should not be treated as professional legal, financial, medical, or regulatory advice • AI systems may be affected by changes to underlying third-party APIs, model providers, or platform capabilities AiRK Solutions recommends that all AI-assisted outputs in high-stakes contexts (medical, legal, financial, safety-critical) are reviewed by a qualified human professional before action is taken.

4. Data Used in AI Systems

When deploying AI systems for clients, AiRK Solutions: • Uses client-provided data only for the purpose of building, training, or improving the agreed AI system • Does not use client business data to train models for unrelated clients or for AiRK's general commercial purposes without explicit written consent • Follows applicable data protection laws (including UAE Personal Data Protection Law and GDPR where relevant) • Advises clients on data minimisation practices to reduce unnecessary AI data exposure Clients are responsible for ensuring that any data they provide to AiRK for AI system development is lawfully obtained and appropriately consented to.

5. Third-Party AI Platforms

AiRK Solutions integrates third-party AI platforms and APIs (such as large language models, voice AI providers, automation platforms) into client workflows. AiRK: • Selects third-party platforms based on reliability, security posture, and compliance documentation • Discloses material third-party AI dependencies in client Service Agreements • Does not guarantee the continued availability, performance, or behaviour of third-party AI providers • Is not liable for changes in third-party AI model behaviour, pricing, or availability that affect client implementations Clients should review the terms and privacy policies of any third-party AI platforms disclosed in their Service Agreement.

6. Prohibited AI Use Cases

AiRK Solutions will not design, build, or deploy AI systems intended to: • Deceive users into believing they are interacting with a human when they are not, without appropriate disclosure • Facilitate illegal surveillance, profiling, or tracking of individuals without consent • Generate disinformation, manipulative content, or deceptive synthetic media • Discriminate against individuals based on protected characteristics • Operate in high-risk autonomous decision contexts (e.g., clinical diagnoses, legal judgements, financial credit decisions) without mandatory human review • Circumvent regulatory requirements or legal obligations Clients who instruct AiRK to build systems that fall within the above categories will have their engagement terminated.

7. Human Oversight Requirements

For all AI systems deployed through AiRK Solutions: • Clients are required to maintain at least one designated human reviewer with authority to override, pause, or modify AI system behaviour • AiRK recommends periodic human review of AI outputs, particularly for customer-facing communications and operational decisions • Escalation paths must be defined and documented for scenarios where AI outputs require human judgement • Clients accept responsibility for ensuring adequate human oversight within their organisation upon deployment AiRK Solutions provides governance documentation and oversight framework guidance as part of all full implementation engagements.

8. AI Output Disclaimers

AI-generated outputs — including automated messages, recommendations, reports, and analyses — are provided as AI-assisted content only. They: • Do not constitute professional advice of any kind • May contain errors, omissions, or outdated information • Should be reviewed by qualified human personnel before being acted upon in consequential contexts • Are subject to the limitations described in Section 3 above AiRK Solutions recommends that clients include appropriate AI disclosure language in customer-facing AI communications.

9. Updates to This Policy

AiRK Solutions reserves the right to update this AI Usage Policy as AI technology, regulatory requirements, and business practices evolve. Updates will be posted to this page. Continued engagement with AiRK's services after updates constitutes acceptance of the revised policy.
